Progress Updates and FAQ’s

After nearly three months under CAM Professional Services, there have been many positive changes to the building, grounds, and most importantly a clearer picture of our financial standing.  During the same time, we have made significant strides toward the completion of our state-mandated Concrete Restoration project and have recently received our Structural Integrity Reserve Study (SIRS), which will soon be posted on the Website.  Please take time to review the SIRS report as it contains helpful details about Lake Mayan which will guide Board decisions in preparing for next year’s budget this coming fall.

Additionally, April 1 marks the first collection cycle for our Quarterly Maintenance Assessments with JEA Financial Group.  As members, you have been provided with several payment options including using the coupon book, mailed to your mailing address of record, or selecting among the several choices for auto/on-line pay.  As shared in the Annual meeting, you may also drop off your checks in the Manager’s office for the remainder of 2025 (April 1, July 1, and October 1).

Our new management team has worked to standardize our operations to ensure consistency and efficiency thus protecting us as Shareholders. As the team helps us update our protocols, we are hearing a number of questions so we are sharing some of the “Frequently Asked Questions” in the section below.

F A Q’s

I have relatives arriving for a week next month. What information should I share with the office?

  • Please utilize the Guest Form which is available on the website or from the office and complete it 5 days before your guests arrive.
  • Have your guests stop by the office and introduce themselves.
  • Please remember to share the Lake Mayan Rules and Regs with them.

Does the management office check on apartments during the “off-season”?

  • No.  As noted in our rules, “Residents are encouraged to engage an Away Service in their absence”.
  • Management does accompany the pest control company on its monthly treatments but will only engage in your apartment if there is a critical emergency.

We have hired an “Away Service” or have engaged a friend or relative to check on our unit each month.  What information do we need to share with the management office?

  • Please inform the office that you have this service, and they will provide you with a form.  This will soon be available on the website as well.
  • Please do not give out your security key.   You can provide access to the building via our tele-entry system.

I am considering renovating my kitchen/bath/flooring. What are the steps I need to take?

  • Please contact the management office and they can provide you with the renovation application which can also be obtained on the website.  Start the process early as it can take several months for final approvals and no work can begin until permits from the City are received and provided to the management company.
  • Washer/dryers are not allowed in apartments as the building’s infrastructure (electrical and water pipes) was not built to support these features.  County permitting for washer/dryers does not supplant the Lake Mayan requirements.
  • While the office cannot guide your renovation process, they can ensure that you are taking the steps appropriate with Lake Mayan policy.

Why do Shareholders have to provide so much information about vendors with the management office?

  • To protect the Lake Mayan Association, all vendors must be licensed and insured.  The building and grounds are owned in common by all Shareholders and damages or claims would have a negative impact on our finances.
  • To protect Shareholders, only licensed and insured vendors may work in your unit.  The Association is not responsible for paying damages caused by claims from work done in your unit, or from work done in your unit which might impact negatively on your neighbors resulting in claims against you.

How do I notify the management company if I have a concern?

  • For property/grounds concerns please fill out a “Work Request Form”

Updates 2/9/25

On Tuesday, Feb 11 at 11:00 AM all residents are welcome to attend a brief presentation on our Concrete Restoration  This presentation will provide you with information about the process being undertaken.
*  The Lake Mayan Owners’ Directory is now available on the website under the “Owners’ Exchange” page.
* All those with bikes stored in the common area/bike rack please make sure to register your bike ASAPNote: in the very near future those bikes will need to be moved to your apartment as that area will be undergoing concrete restoration!  
*  On Friday, Feb. 14, a small team will be walking parts of our grounds and building to obtain information for our state mandated SIRS – Structural Integrity Reserve Study.  This is the final piece of the SB-4D legislation that must be completed and factored into our budget.

 

Jan 27 Concrete Restoration Status

Flacks Painting and Restoration is now on property mobilizing for the upcoming concrete restoration.
They will be using parking spots 55-59 on the east side of the property.  Arrangements are being made for those impacted by the loss of 5 spaces.  We appreciate everyone’s cooperation and flexibility in accommodating the necessary changes.
Today, and possibly tomorrow, the contractor is taking video of the current conditions of the building.  If you might be in your unit, please be aware that there may be someone taking pictures!
Tomorrow, the contractor will start applying blue protective film to your windows.  Please do not remove this film.  It will protect against any concrete or paint that may touch the glass.
Actual work will probably begin in the next couple of weeks, after the engineer marks the areas of the building that need repair.  Work will start with the Northeast corner (Apts # _21) of the building and continue until completion on the northwest corner (Apts # _01).
Please do not engage the workers in conversation.  All questions/concerns should be directed to the office.
Please be aware that concrete buildings will amplify the noise of the drilling or pounding.  You may want to leave once the noise starts and go to the beach, the mall or for a long lunch!
